PHINZ Terms, Conditions and Privacy Policy

Payment Terms

All prices and transactions processed on this website are deemed to be effected in New Zealand and in New Zealand dollars only and, unless otherwise stated, include GST.
We accept payment via credit card or direct deposit only. If payment is made using a credit card issued outside New Zealand, any currency conversion will be done according to the terms and conditions of the card. There may be a current conversion fee charged by your card issuer. Credit card payments are processed through Stripe.

Refunds

If you are not able to attend an event you have registered for, a substitute delegate may take your place. Prior notice of this substitution is required.

Refunds can only be given with at least ten business days’ notice before the date of the event. If you wish to cancel your registration a full refund, minus a $50 administrative fee, will be given provided you have notified us in writing (by receipted email or signed-for letter) at least ten business days before the start of the event. If less than ten business days’ notice of cancellation or transference is given then we regret that a refund cannot be given.

Refunds will not be given in any other circumstances except as required by law. Te Tōpūtanga o te Whare Korou ki Aotearoa, Passive House Institute NZ (PHINZ) reserves the right to cancel any event if minimum numbers are not reached or unforeseen circumstances (like illness, death). In such cases a full 100% refund of the amount paid shall be given. Similarly, PHINZ reserves the right to change the venue of an event with prior notice to everyone registered. No refunds will be given for software purchases, unless required by law.

Delivery

Receipts of payment will be issued by Stripe. Separate invoices will be issued on request. Events will be held at the dates and venues specified in the event announcement on our website.

Software is delivered by any means deemed eligible by the product owner, the Passivhaus Institut in Germany. Currently, delivery is via electronic link, accompanied by a hard copy of the manual.

Security of payment details

We do not store credit card information on our website or in our database. Your credit card details have the security offered by Stripe. No actual card data is held or used by us. You can find out more about the security offered by Stripe here

Privacy Policy

n order to demonstrate our firm commitment to privacy Te Tōpūtanga o te Whare Korou ki Aotearoa, Passive House Institute NZ has created this privacy policy statement. PHINZ’s privacy policy applies to anyone who visits our website. It explains how we may collect data from you when you visit our website and how we use that information. 

PHINZ collects information from you in three ways:

  • Via email
  • Via web technical logs
  • Via web forms
  • We collect personal information from you, including information about your:
    • name
    • contact information
    • location
    • billing or purchase information

We collect your personal information in order to register you as a member, as a participant of an event, or as a purchaser of software.

Besides our staff, we share this information with service providers, in order to use the online platform and process payments. Providing some information such as a phone number is optional.

Unless we have an ongoing engagement with you, e.g. as a member, we keep your information for one year at which point we securely destroy it by deleting it from the service provider platforms.

PHINZ respects your privacy, any personal information that you volunteer will be treated in confidence, applying reasonable standards of security. Any information that you provide will not be made available to third parties except unless strictly necessary to provide the services you signed up for. 

You have the right to ask for a copy of any personal information we hold about you, and to ask for it to be corrected if you think it is wrong. If you’d like to ask for a copy of your information, or to have it corrected, please contact PHINZ admin

When you visit our website we may use cookies to help us deliver useful functionality.

What are cookies and how do we use them?

You can delete cookies stored on your computer or change your privacy settings at any time via your browser settings. PHINZ will assume that you agree to the placement of cookies on your device, unless you specifically choose not to receive our cookies, in which case the website functionality may differ. PHINZ uses Google Analytics to collect information about how you use our website.

Email

If you choose to contact PHINZ via email, your details will be used only for the purposes for which you intended. When your email has been actioned, the original message will be retained by PHINZ for a reasonable period of time.

Registering for the online newsletter

If you register for a PHINZ newsletter, your name and email address will be recorded. We use Mailchimp for this purpose. Find Mailchimp’s privacy policy here

You can opt out of receiving newsletters at any newsletter delivery.

Registering for online events

If you register for a PHINZ event online, your details will be recorded. The services we use for this are:

Information about payment security can be found in the Security section above. In addition to the records for payment purposes, your name, email and the course(s) you registered for may be recorded in our Moodle based online learning environment for the duration of the event. Any event activity you engage in, such as quizzes, workshops and so forth, will also be recorded. All your data will be deleted after a reasonable time following the completion of the event.

Changes to this privacy policy

We may modify this privacy policy at any time. We will notify you by publishing the changes on this website. If we determine the changes are material, you will be provided with additional, prominent notice as is appropriate under the circumstances, such as via email or in another conspicuous manner reasonably designed to notify you. If, after being informed of these changes, you do not cancel your registration and continue to use our services beyond the advance-notice period, you will be considered as having expressly consented to the changes in the privacy policy.
